Reservations Specialist

This position we are currently hiring for at our growing company where we offer several different services for people and their pets.
Safety is the responsibility of each individual and management expects all work to be done in a safe manner.
We have a three phase hiring process. Only those who complete all phases will be considered for employment.

Pets in our facility must be cared for promptly, every day. The facility is staffed 365 days a year and is exceptionally busy when schools are on holiday recess. Experience is desired, however a genuine love for animals is a must. You must be able to handle dogs of all sizes without being afraid of them and without allowing them to control you. You must be in good physical condition, able to squat, stoop, bend, lift, and do a lot of walking. Must be willing to maintain the highest standards in cleanliness. There will be opportunities for advancement, if you excel.

NEED TO (the must have’s):
- Be able to lift 40 lbs.
- Previous dog experience meaning more than that you have owned a dog.
- Good dog handling.
- Good with cats too!
- Customer interface to include checking pets in and out.
- Prepares invoices and accepts payments.
- Answers the phone and takes reservations.
WHAT YOU WILL BE DOING:
JOB DESCRIPTION
Purpose of Job
We will rely heavily on this position as this person will be on the front line of our company. The reservation specialist’s duty is to provide top notch, professional, and friendly customer service to every client that calls and/or enters The Purple Dog, mitigating and handling, with the assistance and guidance of the owners, all issues and concerns coming from a client, and selling our services in order to increase revenue In addition, this team member will be the administrative arm of the business, ensuring that all dog and client information, reservations and special instructions are accurately entered and confirmed.
Expectations and Duties
- Customer Service
- Learn the reservations system inside and out and take all boarding, grooming and daycare reservations
- Learn the new phone system and how to field calls
- Answer the door with a friendly demeanor and receive the dog, and check in dogs into system
- Check email for clients trying to make reservations
- Perform feedback calls when the phone is quiet
- Set up tours and keep track on calendar
- Help troubleshoot with the drivers i.e. call clients when drivers are running late, call client if they haven’t shown up, etc…
- Answer the door and help with handoffs
- Check voicemails and return calls as necessary
- Ensure that all cash is marked and given to owners
- Dog care
- Keep track of all boarders, when they are coming and going, their belongings, their check in information, special instructions, meds, feeds, etc… update the wall with all notes
- Input all vaccinations for dogs and help to keep vacs up to date
- Maintain an accurate list of the dogs arriving, and check in all dogs into our system
- Do a final numbers check on all dogs in house to ensure numbers are accurate
- Assist attendants when needed for breaks, etc…
- Assist in grooming when needed
- Ensure progress reports are started when necessary and that they are being updated
- Create floor plans, temperament charts, and activity lists for the weekends
- Facilities
- Order and keep track of all cleaning and grooming inventory
- Monitor the facility for any issues and notify owners as needed (i.e. heating or cooling, flooding, snow and ice, leaks, power outages, no hot water, etc…)
- Maintain organization of all closets and drawers
- Teamwork/Communication
- Fill in and complete all daily reports paper or electronic based on the information given by attendants
- Perform daily task delegated to you by owners
- Learn how to create the driving lists, so you may perform this task in the owner’s absence
- Assist in daily cleaning tasks when necessary and during downtimes
- Sales and Marketing
- Sell all new clients on our services and get them signed up in our system, and keep track of new client calls in our spreadsheet
- Upsell all current clients on other services/cross market
- Help facilitate events, social media campaigns, mailings, photos, etc…
DESIRED EXPERIENCE AND EDUCATION
- High school diploma or equivalent
- Previous experience in a pet facility or pet care environment a plus
- Excellent work history and references
COMPENSATION
Pay depends on experience. Performance based bonus upon approval.
